S-001 · Cover sheet
Nobody was watching the spreadsheet. Suretly watches it — bid bonds, renewal deadlines and compliance paperwork for contractors bidding on more than one job at a time.
| Mk | Item of record | Reference | Due | Status |
|---|---|---|---|---|
| 01 | Umbrella / Excess Liability | 14 AUG 2026 | LAPSED | |
| 02 | Fire Station No. 52 | IN 2 DAYS | NO BID BOND | |
| 03 | Bond capacity letter | IN 12 DAYS | DUE | |
| 04 | SAM.gov registration | IN 26 DAYS | DUE | |

Rows 01 and 02 are what a missed renewal actually looks like
S-101 · General notes
1 A bid bond that is not in the envelope means the bid is not opened. There is no late submission and no appeal.
2 A certificate that lapsed quietly puts you out of compliance on every job that needs it, and owners check before anyone sets foot on site.
3 An aggregate line you have already used means the next job cannot be bonded. Finding that out on bid day is finding out too late.
S-201 · Schedule of works
| Mark | Item | Description | Remarks |
|---|---|---|---|
| A-1 | Bid pipeline | Every invitation from receipt to award. Deadlines carry a time, not just a date, because bid openings are to the minute and a late bid is not opened. | 10 stages |
| A-2 | Bond register | Bid, performance, payment, maintenance, supply, subdivision and license bonds. Penal sum, surety, obligee, form, expiry — with the premium worked from the rate. | 8 types |
| A-3 | Document vault | Certificates, licenses, tax forms and safety records, with coverage limits and EMR recorded on the row rather than buried in a PDF. | 30 types |
| A-4 | Bonding capacity | Outstanding penal sums against each surety's single-project and aggregate lines, so you know whether the next job fits before you chase it. | 75% / 90% alerts |
| A-5 | Renewal calendar | Bid dates, bond expiries and document renewals on one month grid. The thing a spreadsheet cannot do. | Month + list |
| A-6 | Renewal notices | One digest per company at 90, 60, 30, 14, 7 and 1 day out. Configurable, and silent when there is nothing to say. | 16 notices |
S-301 · Legend
Penal sums, obligees, AIA forms, Treasury listings, EMR, Miller Act thresholds. Getting the vocabulary wrong is obvious to anyone who bids work, so it was checked rather than guessed.
